Admissions Assistant

Classification Summary:

Incumbents provide comprehensive customer service at the Admissions front counter and create a positive, welcoming environment for students. Responsibilities may include: providing accurate and timely information regarding Jefferson Colleges programs and services to prospective students; answering the main Admissions phone line; managing the departmental email account; maintaining current knowledge of prerequisites, test scores, and admission policies; and assisting with the processing of admissions applications, dual credit/dual enrollment admissions and registration, information requests, and transcripts.

Minimum Education and/or Training and Experience:

High school diploma or equivalent and one year of specialized training or experience required.

Preferred Education and/or Training and Experience:

Must be able to provide outstanding customer service through written and interpersonal communication with the general public, coworkers, and supervisor. Interpretation of admission and placement requirements, accurate data entry using computer and software applications; excellent attention to detail; ability to multitask; and maintaining strict confidentiality are required.

Classification Duties:

Duties:

  1. Create a positive, welcoming environment for prospective and new students by providing quality, comprehensive customer service at the Admissions front counter.

  2. Serve as the main point of contact for prospective students by staffing the Admissions front counter, answering the main Admissions phone line, and managing the departmental email account.

  3. Help direct prospective students through the admissions process and provide accurate and timely information to students regarding Jefferson Colleges programs and services. Help link newly admitted students to the appropriate campus resources.

  4. Assist dual credit/dual enrollment students with admissions and registration activities, including online course schedule information; adding, dropping, and withdrawing from classes; payment options; and updating student demographic information.

  5. Process information requests and/or input prospective student information into Banner.

  6. Determine student college readiness and course placement levels and input scores based on current high school transcripts and college transcripts (where applicable).

  7. Assist with the processing of admissions applications, dual credit/dual enrollment admissions and registration, and transcripts; assist with the imaging and organizing of student records; process information requests; and input prospective student information into Banner.

  8. Manage the Admissions webpages, ensuring information is up-to-date and easy for students to understand.

  9. Provide administrative support to the Office of Admissions and assist with relevant admissions, recruitment, and outreach initiatives, including mailings and call-a-thons.

  10. Ensure all communication is conducted within the established guidelines of the Family Educational Rights and Privacy Act (FERPA).

Position Duties:

Ensuring compliance with applicable internal and/or external program requirements;

Compiling and analyzing data;

Preparing a variety of reports;

Managing inventory;

Troubleshooting and solving complex program issues;

Communication, interpersonal skills as applied to interaction with coworker , supervisor, the general public, etc. sufficient to exchange or convey information and to receive work direction.

Wage/Salary: $17 per hour

Status: Part time

If Part-time, hours per week: 29

If Non-exempt, work days: Monday - ThursdayMonday 8:30 to 5 and Tuesday - Thursday 9:30 to 5

Special Instructions Summary:
