HOURS OF WORK : 9:00 am - 5:30 pm (7 1/2 hours/day)

This position is eligible for telework which is currently one day per week. New hires are eligible to apply 30 days after their effective date of hire.

SUMMARY :

The Retirement Benefit Coordinator is responsible for providing confidential retirement counseling to potential MaBSTOA retirees this includes active and inactive (vested members) employees. The Retirement Benefit Coordinator will respond to customer’s request for consultation via direct calls and the Siebel system. After discussions with a potential retiree who has expressed interest in retiring, the incumbent will verify that the employee has attained retirement age as set forth in the pension plan document. Upon verification, the Retirement Benefit Coordinator will assemble data from various sources to initiate the retirement benefit process. The incumbent will then prepare the retirement folder for credited service calculation and work closely with a Senior Analyst to determine eligibility of credited service under the pension plan. The Retirement Benefit Coordinator will confirm eligibility of the potential retiree and will take next steps in the retirement process by providing the potential retiree with a retirement estimate and appointment confirmation for the retirement interview. The incumbent is responsible for meeting with employees to help them understand the retirement benefits which are available to them through MaBSTOA. The Retirement Benefit Coordinator interprets retirement rules, procedures and requirements for potential retirees and will assume responsibility for ensuring that administration is in compliance and aligned with agreed policies, practices and procedures. Carry out special and /or ad-hoc projects and assignments as requested. Identifies and communicates process improvements and assists in implementing changes.

RESPONSIBILITIES

  • Counsel MaBSTOA employees concerning retirement eligibility

  • Review credited service, age requirement and retirement estimate, retirement option and vital records for relating to option selection such as birth certificates and marriage certificates

  • Coordinate the calendar for MaBSTOA retirement appointments

  • Liaise with Department of Buses, Union Representatives and Timekeeping to ensure that time and leave balances are provided in advance of retirement appointment

  • Discuss issues relating to employee ineligibility for retirement benefit and provide a projected date of eligibility

  • Responsible for providing current pension loan balances to retirees and discuss implication of outstanding loan at retirement

  • Utilize database to prepare retirement forms for execution

  • Utilize Siebel to enter, manage and prioritize requests for service as it pertains to MaBSTOA retirements

  • Utilize Universal Content Manager (UCM) to index scanned retirement documents

  • Maintain filing system, create new files and manage archiving.

  • Other projects as assigned by management

    KNOWLEDGE, SKILLS, AND ABILITIES

  • Proficiency with Microsoft applications, specifically PowerPoint, Word, and Excel or comparable PC applications

  • Knowledge of record-keeping procedures for correspondence control

  • Excellent oral and written communication skills

  • Excellent interpersonal skills and demonstrated ability to communicate with internal and external contacts at all levels.

  • Excellent organizational skills and capable of handling several projects at once while properly prioritizing.

  • Ability to handle diverse and conflicting responsibilities in a timely manner.

    EDUCATION AND EXPERIENCE :

  • High school diploma or equivalent GED.

  • Minimum of two years’ experience working in an office or business environment.
