This Executive Assistant role is a full-time position in NBCUniversal's Media Group and this position will directly support and report to the EVP, Analytics, Insight & Measurement and also provide support to an SVP in the department.  The ideal candidate for this position has exemplary planning and time management skills and can organize and manage calendars, keeping scheduling operations running smoothly and efficiently. Poise, articulate and professional communications are essential to the role.

Essential Responsibilities:

This roles day to day responsibilities include:

  • Proactively managing/coordinating daily schedule/calendar, expenses, contacts, travel arrangements, meetings (internal and external), conferences, and events

  • Be an invested partner in the executive’s and department’s success by providing smooth communication and  demonstrated leadership to maintain credibility, trust and support with executives and their administrative teams

  • Determine the importance of meeting requests and schedule accordingly; demonstrate flexibility, patience and persistence in routinely and proactively rescheduling meeting conflicts, be attentive to multiple time zones, anticipate additional steps for in person meetings (guest drive-ons, tech resources, etc) and achieve an optimally balanced schedule to best support executive productivity

  • Manage the booking of all travel (including flights, cars and hotels) and be flexible and prepared to make adjustments as plans change

  • Manage expense policy, including approvals, reimbursements and expense reports in accordance with established policy guidelines; track expenses and follow-up in timely manner

  • Responsible for success in complex meeting/event preparation (AV, room scheduling, telepresence events, etc.), set-up, and follow-up including preparing materials, additional resources, documenting notes, and coordinating follow-up items to completion, arranging for food/drink

  • Managing general office and administrative tasks, including ordering of  supplies, renewing memberships, and subscriptions, managing distribution lists, photocopying, deliveries, etc.

  • Managing department files, including electronic document systems, intranet web sites, and web-based project management tools

  • Provide data entry support to the measurement operations team

  • Managing special projects as designated and assist other department members as necessary and acts as back up for other assistants on team

  • Performing other duties as assigned and assist with special projects as needed.

Basic Qualifications

  • Bachelor's degree preferred

  • A minimum of 4+ years’ relevant work experience in a fast-paced, complicated administrative support role

  • Track record of proactively managing/coordinating daily schedule/calendar, expenses, contacts, travel arrangements, meetings (internal and external), conferences, and events with minimal error

  • Ability to work with and maintain confidential information with a high level of discretion

  • Expertise in Microsoft Office programs including Outlook, Word, Excel, knowledge of PowerPoint a plus

  • Excellent written and verbal communication skills, highly organized and responsive with strong interpersonal skills, including a professional virtual and in-person presence

  • Superior organizational and administrative skills able to multi-task and prioritize work with an attention to detail

  • Ability to understand changing priorities, anticipate needs and adjust meetings appropriately and independently

  • Flexibility to work an early schedule to accommodate communication with earlier time zone offices and if needed work occasional overtime

Desired Qualifications:

  • Working knowledge of the media landscape and understanding of media organization and corporate dynamics with prior experience in business side of the Media or Entertainment industry preferred

  • A flexible self-starter and problem solver who is organized with strong decision-making capability, ability to follow through without supervision and strong emotional maturity

  • Adaptable to various competing demands, and demonstrate the highest level of customer service and response

  • Forward looking thinker, who actively seeks opportunities and proposes solutions

  • Must have professional polish and ability to interface with executives and all levels of NBCU staff to collaborate across the organization to achieve goals. Approachable, but also assertive.

  • Highly resourceful team-player, with the ability to also be extremely effective independently

Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.

This position is eligible for company sponsored benefits, including medical, dental and vision insurance, 401(k), paid leave, tuition reimbursement, and a variety of other discounts and perks.
