Partnership for Public Service Executive Assistant to the President and CEO in Washington, District Of Columbia

    POSITION OVERVIEW

    As the Executive Assistant to the President and CEO, you will play a critical role working closely with the CEO, Executive Team, Chief of Staff and the Administrative Assistant to provide administrative and strategic support and to accomplish the organization’s priorities.

    ESSENTIAL FUNCTIONS/PRIMARY RESPONSIBILITIES

    Support for the President and CEO (60%)

  • Own and manage the President and CEOs extremely active calendar, including meeting logistics and technical support, ensuring that time is allocated to the highest priorities. This includes proactive troubleshooting and providing solutions in a complex and fast-moving environment.

  • Serve as primary internal and external point of contact for the President and CEO for all meetings, events and speaking engagements.

  • Communicate directly, and on behalf of the President and CEO, with board members, donors and high-level executives from government and the private sector, on matters related to the Partnership.

  • Support the preparation and delivery of written materials and presentations, including conducting background research, providing first drafts and formatting materials in association with the President and CEO’s speaking engagements and meeting participation.

  • Serve as a confidential source of information to the President and CEO and Chief of Staff.

    Support for the Executive Vice President (25%)

  • Own and manage the Executive Vice President’s (EVP) extremely busy and active calendar.

  • Provide administrative support to the EVP in drafting the quarterly agenda map for Management Team meetings, the agenda for Management Team meetings and the biweekly agenda for Programs Team Leadership meetings.

    Support for the Executive Team (10%)

  • Monitor, and deconflict when necessary, the calendars of the Senior VP, Development and the Chief Operating Officer.

  • Prioritize and maintain an up-to-date list of requests to and by the Executive Team and ensure completion of items with great care, follow through and attention to detail.

  • Work closely and collaboratively with the Senior VP, Development and the Development team to conduct outreach to and secure meetings with current and prospective donors.

  • Support effective communication and coordination between the Executive and Management teams, and other colleagues as needed.

    Additional administrative support (5%)

  • Support the planning, logistics, and execution of key VIP events and meetings, including compiling invitation lists and conducting event follow-up. Support planning and execution of internal staff meetings, staff retreats and other key staff wide engagements.

  • Other duties as assigned at the discretion of the CEO and Chief of Staff.

    REQUIRED EDUCATION AND EXPERIENCE

  • Five to seven years of demonstrated and progressively responsible experience in an administrative assistant or other support role is required.

  • Bachelor’s degree, or equivalent professional work or military experience. 

  • Highly proficient with the Microsoft Office programs, preferred experience with Salesforce.com and ability to pick up other applications quickly.

    SUPERVISORY RESPONSIBILITY/REPORTING STRUCTURE

    This position reports to the Chief of Staff and has no direct supervisory responsibilities.

    WORK ENVIRONMENT

    This job operates in a hybrid (remote + office) environment in Washington, DC, and requires the candidate to be a permanent resident in the Washington, DC, Maryland or Virginia area. The person in this role is expected to work in the office, on average, three days per week. This position requires consistent use of office equipment such as computer, telephone, printer/scanner and MS Office.

    In assessing employee performance at the Partnership, we consider collaboration, results, demonstration of our values and a commitment to diversity, equity, inclusion and accessibility. Our performance review process runs the calendar year; we conduct a performance check-in at mid-year and complete a formal full-year assessment at year end. Salary increases are based on the full-year performance assessment.

    POSITION TYPE/EXPECTED HOURS OF WORK

    This is a full-time, non-exempt position with regular work hours Monday-Friday. Occasional evening or weekend activities may be required. Official business hours are 9:00 am to 6:00 pm ET, though the Partnership allows some flexibility in work schedules.

    TRAVEL

    If travel occurs, it is usually during the business day.

    SALARY AND BENEFITS

    The starting salary range for this position is $70,000-$95,000. The Partnership offers a compensation package that includes a competitive salary; medical, dental and vision coverage; life insurance; long- and short-term disability insurance; a 401(k) program with a 4 percent employer match; opportunities for training and development; commuter benefits;  15 days  of annual leave per year,  10 days  of sick leave per year, plus all federal holidays and the day after Thanksgiving off; and use of an on-site exercise facility.
